Direct answer
Outsourcing Whatnot fulfillment means assigning physical inventory and shipping tasks to a warehouse while preserving the marketplace’s approved order and label workflow. Start by mapping where products are during a stream, how final buyer shipments are handed off, and who resolves exceptions.

Start with inventory location
A seller shipping sealed inventory already stored at a warehouse has a different operation from a breaker opening products on camera in a studio. In the second model, the opened goods must reach the fulfillment team before packing can begin. Identify that transfer step first. Include transport time, receiving effort, and the risk of an incomplete manifest in the plan. A warehouse quote cannot solve an impractical physical handoff.
Define the unit you are storing
Identical sealed boxes can usually be managed as SKU quantities. A particular raw card or slab may require its own identifier and condition record. Describe whether your warehouse must recognize individual goods, photograph arrivals, or reconcile a stream allocation. Separating these activities helps the provider estimate receiving labor and prevents a generic pick rate from hiding expensive intake work.

Agree the shipment record before packing
Give the warehouse a final list of items for each approved buyer shipment, plus the correct label and a revision identifier. Include cancellation handling, changed labels, and an owner for questionable orders. Whatnot generally requires its generated labels unless BYOL is approved. Confirm the permitted pathway before connecting a warehouse; access to order data alone is not proof of a complete integration.
Run a controlled handoff
Choose a limited set of orders covering a single-item shipment, several purchases in one approved bundle, and an exception resolved before dispatch. Reconcile inventory and shipment records after the test. Inspect packing and tracking results. Expand volume once costs, responsibilities, and the actual time between handoff and dispatch are understood.
Review worksheet
| Area | What to review | Action |
|---|---|---|
| Receiving | SKU or unique-item intake | Who labels and identifies each item? |
| Order handoff | Final shipment manifest | Who handles cancellations and revisions? |
| Packing | Approved materials and service instructions | Which extra checks are charged? |
| Dispatch | Label, tracking and acceptance record | Who confirms the handoff to the carrier? |

Before you proceed
- Product categories and condition requirements
- Monthly and peak-show shipment counts
- Inventory location during the stream
- Approved label model and data access
- Receiving, materials and exception charges
Use representative shipment data when evaluating the service. Write down assumptions, assign an owner for exceptions, and compare the actual pilot results with the proposed scope. Revisit the checklist when your product mix, selling channels, or shipping model changes.
Frequently asked questions
Can a 3PL ship items opened in my studio?
Potentially, but the physical transfer and receiving process must fit your deadlines and be included in the service scope.
Does every live sale become a separate parcel?
No. The final approved shipment grouping controls what goes into each parcel.
What should I compare between quotes?
Compare receiving, item identity, storage, picks, packaging, transfer costs, and any verification work on the same scope.
