MATCH THE OPERATION TO THE MODEL

Rolling renewals or a planned box launch?

The right fulfillment setup starts with when orders become ready and what needs to be inside each package.

Planning decision Recurring replenishment Curated subscription boxes
Order timing Individual customers renew on their own schedules. Orders often release around a monthly, quarterly or seasonal cycle.
Contents A repeat product, variant or established bundle. A defined selection that may change from cycle to cycle.
Warehouse work Pick, pack and dispatch eligible renewal orders. Receive components, assemble approved kits and prepare the scheduled release.
Inventory focus Product availability across rolling demand and one-time sales. Enough of every component, insert and box for the full planned run.
Rules to agree Order holds, cutoff times, SKU mapping and changes before processing. Component deadlines, box variants, substitutions and packout approval.

Running both? Coordinate the two workflows in one service plan. Reserve components for a box launch while maintaining stock for ongoing renewals and regular ecommerce orders.

SHOPIFY & SUBSCRIPTION WORKFLOWS

Connect the renewal.
Define the handoff.

Your subscription app manages the recurring purchase. Your store creates the order. Rapid fulfills the orders released through the agreed connection.

The important part is what happens between those steps: successful payment, order holds, changes, component mapping and tracking all need clear rules.

BRING YOUR REAL ORDER SCENARIOS

Test the exceptions before launch.

  • First order vs. renewal: different inserts, starter kits or packaging.
  • Skips and cancellations: agree how changes reach the warehouse before processing.
  • Failed payments: confirm unpaid or held orders stay out of fulfillment.
  • Swaps and add-ons: map the actual items and quantities to warehouse SKUs.
  • Tracking: verify shipment updates return to the correct order workflow.

Share your subscription app and store configuration. Compatibility and automation depend on your setup and are confirmed during onboarding.

THE STARTING PLAN

Make the next cycle
your cleanest handoff.

Whether you’re leaving in-house shipping or switching providers, plan the move around live orders and subscriber expectations.

  1. Map the program

Share products, platforms, renewal volumes, box variants and your shipping schedule. Agree the service scope and processing expectations.

  2. Plan stock & receiving

Confirm component SKUs, inbound quantities, packaging materials and inventory allocation. Set deadlines around the next release.

  3. Approve the packout

Document assembly, presentation and insert instructions. Test orders and tracking before switching the live workflow.

  4. Launch & review

Release eligible orders into fulfillment. Review exceptions, component needs and changes before the next cycle.

ANSWERS BEFORE YOUR NEXT CYCLE

Subscription fulfillment FAQs.

Practical answers about renewal orders, kitting, inventory, pricing and the switch to Rapid.

Talk through my program →
What is subscription fulfillment?

Subscription fulfillment is the warehouse work behind recurring product orders: receiving inventory, storing SKUs, picking products, assembling kits where needed, packing, shipping and returning tracking updates. Your subscription platform manages the recurring purchase; the fulfillment operation handles the physical shipment after an order is released.

How is replenishment fulfillment different from subscription box fulfillment?

Replenishment programs usually repeat an individual product or established bundle on each customer’s schedule. Curated subscription boxes may change their contents each cycle and ship in a planned batch. Both need clear inventory and order rules, but changing boxes also require component planning, assembly instructions and packout approval.

Can Rapid fulfill Shopify subscription orders?

Yes. Rapid supports Shopify subscription fulfillment. Your subscription app creates renewal orders in Shopify, and the agreed fulfillment workflow handles eligible orders after they are released. Share your app, SKU structure, order holds and tracking requirements during onboarding so the complete workflow can be reviewed and tested.

Does Rapid manage subscription billing, failed payments or cancellations?

Warehouse fulfillment is separate from subscription billing and membership management. Your subscription platform remains responsible for charging customers, payment retries and subscription changes. During setup, agree how paid orders, holds, skips, cancellations and changes reach fulfillment, including the point after which a warehouse order can no longer be changed.

Can one fulfillment operation handle subscriptions and one-time orders?

Yes. Rapid can scope fulfillment for recurring and one-time ecommerce orders. Decide whether channels share inventory, which SKUs or components are reserved for a subscription cycle, and how promotional orders affect stock available for renewals. Shared stock requires an agreed allocation process.

Can Rapid assemble changing monthly boxes and kits?

Rapid supports kitting, bundles and subscription box assembly. Provide a bill of materials, box variants, quantities, inserts, packaging and assembly instructions for each cycle. Agree component arrival deadlines, acceptable substitutions and packout approval before assembly begins.

Can you use our branded packaging and inserts?

Branded boxes, mailers, tissue, printed inserts and sample packouts can be included in the service scope. Share your materials and presentation requirements so receiving, material storage, assembly time and packing charges are included. Packaging procurement and printing responsibilities should be agreed before launch.

How do we plan inventory for recurring shipments?

Start with expected renewal orders, quantities per order and the bill of materials for each box. Include new subscribers, one-time sales, inbound lead times and an agreed buffer. Your team supplies demand and campaign plans; receiving schedules and replenishment responsibilities are coordinated with Rapid.

When will subscription orders ship?

Dispatch timing depends on the service plan, inventory availability, order release time and assembly requirements. Rolling renewals and batch box launches need different schedules. Confirm the warehouse processing window and carrier transit time separately before promising subscribers a delivery date.

Can Rapid handle supplement and beauty subscriptions?

Rapid supports supplement, wellness, skincare and beauty fulfillment. Provide shelf-life information, product dimensions and packaging needs, plus any lot, expiration or storage requirements for review. Specialized handling must be confirmed for your products before inventory is sent.

What does subscription fulfillment cost?

Costs depend on inbound receiving, storage, order volume, items per shipment, kit assembly, packing materials, postage and special handling. Changing boxes can add component receiving and assembly work that a simple refill does not need. Request an itemized quote using your actual order and cycle profile.

How do we switch from in-house shipping or another 3PL?

Start with your SKU list, inventory quantities, subscription platform, renewal calendar and recent order profile. Agree inventory transfers, receiving dates, order holds, packing instructions and test orders. Coordinate the cutover around a live renewal cycle to avoid releasing orders before inventory and tracking workflows are ready.
