Direct answer
A warehouse should pack the final marketplace shipment, rather than independently group purchases by buyer name. Keep order IDs, item identifiers, shipment IDs, and label revisions connected so that the parcel matches the approved shipment record.

Treat shipment identity as a separate field
One buyer can make several purchases during a show, and those purchases may end up in one or several shipments. Maintain both the order-level identifiers and the shipment-level identifier. Buyer names are not reliable keys: names can repeat and a customer can have multiple shipping arrangements. A structured record makes it possible to trace an item from its sale to its physical parcel.
Complete permitted changes before warehouse release
Whatnot allows same-buyer bundling before labels are generated. Permitted unbundling has a different timing window. Follow the current Seller Hub rules and release only the final shipment to the warehouse. If a shipment changes, withdraw the previous packing instruction and identify the replacement. Do not leave the warehouse guessing which PDF or manifest is current.

Use an exception queue
An item without an identifier, a stale label, a cancelled order, and a damaged slab should each have a defined stop condition. The packing team should know which issues can be corrected locally and which need seller approval. Set a reply owner and a realistic response window. Holding one questionable parcel is preferable to silently substituting an item or combining shipments outside the platform record.
Reconcile after dispatch
Compare the released shipment list with the packed and carrier-accepted shipments. Track outstanding items separately from accepted parcels. Investigate duplicate tracking numbers and unused labels before reporting a batch as complete. For larger live-selling operations, this simple reconciliation can reveal where receiving, revisions, or carrier handoffs are slowing the process.
Review worksheet
| Area | What to review | Action |
|---|---|---|
| Order ID | Individual purchase | Keep all orders in an approved bundle |
| Item ID | Specific inventory unit | Avoid substitution of similar collectibles |
| Shipment ID | Approved parcel group | Match the final platform record |
| Label revision | Current shipping instruction | Withdraw obsolete packing instructions |

Before you proceed
- Finalize permitted bundle changes
- Export or transmit the approved shipment record
- Invalidate previous revisions
- Resolve missing-item exceptions
- Reconcile dispatch against release list
Use representative shipment data when evaluating the service. Write down assumptions, assign an owner for exceptions, and compare the actual pilot results with the proposed scope. Revisit the checklist when your product mix, selling channels, or shipping model changes.
Frequently asked questions
Can I bundle by matching buyer names?
Use the platform’s approved shipment records. A matching name alone is insufficient.
What happens when the label changes?
Remove the obsolete instruction and send a clearly identified replacement before packing or dispatch.
Should the warehouse decide how to re-bundle orders?
Only within an agreed, permitted platform process. Physical packaging and platform shipment records must match.
